How to respond to a wedding enquiry within 24 hours (and why it matters)
Couples are looking for a wedding venue with urgency. It is not like searching for a new car; it is an emotional decision and they want to ask questions, see photos and watch videos. By the time couples write to you, they already have a list of three, four or five destinations.
Will you reply in 4 hours? You are in the race. Will you reply in 2 days? We are already out of the game.
The numbers speak for themselves
According to wedding industry surveys, a couple contacts an average of 7-9 venues at once. Half of these receive no response at all due to email chaos, being too busy or ignored phone calls.
Of the venues that do reply:
- Within 2 hours: 65% of couples will view the venue’s page later
- Within 24 hours: 35% will view the page
- More than 24 hours: only 8% will open the application again
If you do not reply on the day couples are searching, you are effectively out of the running. Will they return? Maybe - but they will now devote only a quarter of their energy to you.
The worst-case scenario: you reply after 3 days and the couple says “Ah, thanks, we have already decided elsewhere.”
Why it’s difficult (and how to handle it)
Wedding enquiries come through various channels:
- Email (via your website, Seznam, Google)
- Phone (during working hours, sometimes outside them)
- Instagram DMs (mainly from younger couples)
- Messenger
The problem: Each channel goes somewhere different. No one knows who has already replied to what, and if you work across multiple locations or with an assistant, you end up with duplicates and confusion.
Responding within 24 hours is not about working overtime. It is about having a place where enquiries are CENTRALISED and where you can see what you have already answered.
Workflow: “Inbox Zero in 2 Hours”
Here is how it works:
1. Centralised Collection
All enquiries (email, website, Messenger, Instagram) should be gathered in one place, ideally within a CRM or via a forwarded email address. If you use a website form, set it up to send you a notification.
Why? So you do not have to jump between your mailbox, phone and social media accounts.
2. Checklist Response (3 Questions)
Do not reply with long text. Couples are busy and will not read an essay. Reply with three specific questions:
- Which dates are you considering (month, year)?
- How many guests do you expect?
- What attracted you to our venue? (So I know where to look in the catalogue)
Example:
Thank you for your interest! We would be happy to provide more details.
To save time, we need to know:
- When are you planning the wedding? (Month and year?)
- Number of guests?
- What appeals to you about us (photos, architecture, garden)?
We will send you our availability in the next email.
Looking forward to hearing from you!
[Name and phone number]
3. Logging (2 Minutes)
As soon as you reply, record the following in your CRM or Excel:
- Date of enquiry
- Date of your response
- Status: “Waiting for couple’s reply”
Why? So you know when to follow up if the couple does not respond.
4. Follow-up After 3 Days
If the couple has not replied, it does not mean they are not interested. They may have forgotten, be on holiday or communicating with other venues (calling your competitors). Send them a simple message: “Do you still have time? We remain at your disposal.”
Technical setup
If you have a website with a form:
- Set up email notifications to your mobile phone (not just your computer)
- Alternative: use a webhook to trigger a Slack notification (you will see it immediately)
- Generate an automatic reply: “Thank you, we will get back to you soon” (so couples know they are on the right track)
If you have Messenger or Instagram:
- At least one person in your team should have notifications enabled
- You do not need to reply via Messenger; you can simply write: “We will send you an email with details”
If you have a phone line:
- Set up voicemail with a clear message: “We are at a wedding, we will call you back within 24 hours”
- This is better than having your phone ring in silent mode
Common mistakes
❌ “Look, the page is not available for me”: Couples do not want to do the work. Send them 3-5 photos directly in the email.
❌ “Call us, we love chatting”: Your time is valuable and so is theirs. You choose the time, they choose the venue. Leave calls for later.
❌ Long email threads with price lists and terms: Couples are in a rush. Provide the price later once you know what they need.
❌ Replying within 2 minutes of an enquiry: Yes, it is good but not necessary. A reply within 2 hours is enough, showing “I am a real person” matters more than “I am paranoid”.
How to measure it
Every month, write down:
- How many enquiries did you receive?
- How many of them did you respond to within 24 hours?
- What is your average conversion rate (from enquiries to site visits)?
If you see that couples are enquiring on Friday evenings and you are responding on Tuesdays, there is a problem. If you have a 70% conversion rate and everyone responds within 24 hours, you have a benchmark: keep it.
Conclusion
It is not about you being everywhere at once. It is about inquiries seeing that they have been received and that you are on top of them. Responding within 24 hours is not a superpower; it is standard service. And standard service sells weddings for you.
