CRM integration with web forms: stop transcribing enquiries from email

A prospect fills in the form on your website and submits it, and you receive an email: “Name: Jana, Phone: 728123456, Wedding: March 2027, Number of guests: 90.”

You then open a spreadsheet in Excel (or Sheets) and enter the details manually. Today you receive four enquiries. Tomorrow three. In a month you will think: “We have 70 enquiries, but only 42 are in the spreadsheet. What happened?”

What happened is that someone forgot to enter the data manually. Or they entered it with an error (you might miswrite a phone number and then be unable to call).

How the integration works

You have a website with a form. When the form is submitted, the data goes directly into the CRM table instead of an email.

  1. The interested party fills in: Name, Phone, Email, Wedding Date, Number of Guests.
  2. They click “Send”.
  3. The data appears in Svatbio immediately - no email, no manual entry.
  4. You see a notification: “New lead: Jana, March 2027, 90 guests” and you call her right away.

How to set it up technically

Do you have a website? Then you likely have some form. Here are the most common scenarios:

Scenario 1: WordPress website

There are plugins like WPForms or Gravity Forms that connect directly to your CRM or Google Sheets.

  1. Install the plugin.
  2. Create a form (Name, Phone, Email, Date, Number of guests).
  3. In the plugin settings, select: “Where should the data be sent?”
  4. Choose Google Sheets, Svatbio API or Zapier (middleware).

Setup time: 30 minutes (if you know what you are doing).

Scenario 2: Website on modern technology (Astro, React, Vue)

Do you have developers? Then simply ask them to “send the form data to https://api.svatbio.cz/leads”. The developer will connect it (approx. 1 hour).

Then: Form → API → Svatbio.

Scenario 3: Using Google Forms

We will be direct: Google Forms is not suitable. However, there is a workaround: Zapier or Make.com.

Zapier acts as a “robot” that waits for the form to be filled and then sends the data to your CRM. Cost: approx. 200-300 Kč/month.

  1. Create a Google Form.
  2. Connect it to Zapier (“when the form is submitted, send to CRM”).
  3. The CRM receives the data.

I see it all the time: a website owner thinks that “the form sends an email and I will enter it manually” is enough.

With 10 leads, everything is fine. With 50 leads, chaos ensues. With 200 leads, you do not even know how many you have.
