Onboarding a couple after signing the contract: a checklist to save the wedding

I know how it looks. Couples sign the contract, pay the deposit, and then you only hear from them when something is dragging on: “Where are those photos from the viewing?” or “We forgot what the toilet space looks like.”

That pressure in the last four weeks before the wedding is no coincidence. It is the result of poor onboarding right after signing.

I will be specific. I will plan out for you the exact sequence of what must happen between signing the contract and the first joint meeting in the venue (ideally 1-3 weeks after signing).

The First 48 Hours: “Welcome to the Family”

Send a welcome email immediately on Friday or Monday after signing. It should not be commercial: no list of services or photos of the venue. Instead, include the following:

  1. Confirmation of date and time. A sentence such as: “Your wedding is confirmed for [day, time]. You are in our calendar.”
  2. The name of one team member. “I will be your contact person, [name]. I answer calls from Tuesday to Thursday between 9:00 and 16:30.”
  3. A checklist of next steps. For example: “Your contract copy is on its way to you. In the next email (Wednesday), we will arrange a venue tour. Please prepare photos of themed weddings that you like.”
  4. A phone number. Not a company email address, but a direct line. “You can call at any time.”

This takes 10 minutes to write and zero minutes to organise. However, couples will stop asking “where did they go?”

Weeks 1-2: Venue Tour

Book them for a specific time, not “sometime in the next two weeks”. Ideally, schedule it on the same day of the week as their wedding. If they are getting married on a Friday, invite them on a Friday. They will see what the venue looks like when it is operating in Friday mode.

During the tour:

- Number of guests (final estimate)
- Contact person for coordination (bride/groom/mother)
- Menu (if choosing from our offer)
- Parking: how many cars will there be?
- Can they smoke outside? (yes/no → then arrange a smoking area)
- Will they bring their own DJ/photographer or hire ours?

Give them a year to live. Really. Without that, they simply do not know.

Weeks 3-4: Planning the details

Send them to a group on Messenger or WhatsApp (so everything is not just in email). There you will post:

In week 3, call them. Not via Zoom but by phone. Spend 20 minutes on details. Then they know you are not just an automated system.

Month 3-4: Midway Check

This is where the details begin. Send them a link to an interactive floor plan so they can see how it will look:

Month 5-6: Technical dry-run

Call them back. “Now we know what the food will be and how the room will be decorated. Come walk through it with us.”

Physically bring samples of the tables, chairs and decorations they will have. Sometimes couples are not ready until they see it. Then: “This table is too small! Eight people won’t fit!” - and you have a month to fix it.

One thing many businesses often overlook: onboarding is not about information; it is about emotion. Couples are nervous. You want them to know they are not alone and that everything will be fine. How will they know? When they see you have prepared everything up to a year in advance.
